Title: Still the Bottleneck, Even After I Built My Way Out

I've already messed up my own set cadence!  How many times has that happened to you too?  But here we are two weeks past my scheduled Bestie Brief drop time...

Behind the Scenes: Life Lately

Earlier this month I packed up & headed to Colorado Springs to host our first ever Mastermind Weekend, followed immediately by hosting the annual Bookkeeper's Boss retreat. Ten days total. Two big rooms full of women I love: deep conversations, big breakthroughs happening left & right, the kind of week that fills you up in every way except physically.

And my body sent the bill.

I have autoimmune stuff I manage day to day, and being "on" for that long, that many people, that much travel, that little sleep, it caught up with me hard. I came home and basically could not function for days. Not the cute "I need a nap" kind of tired. The full system shutdown kind. I missed calls I would normally never miss. I had to lean on my team in ways I don't always let myself do.

Here's the thing though. Everything still ran. Clients got taken care of. Calls happened without me having to be the one on camera. My team stepped up in ways that honestly made me a little emotional, because it proved something I preach constantly but don't always live: the business does not fall apart when I'm not the one holding it together.

And my clients, I have to tell you about my clients. So many of them reached out just to tell me to rest. To take my time. To feel better. Message after message saying nothing they had going on was an emergency, that I should focus on getting healthy first. And here's the part that really got me, even while I was flat on my back recovering, I was still able to help move the needle for them when they needed it. That kind of grace from the people you serve does not happen by accident. It happens because you build real relationships, not just transactional ones. I am so incredibly grateful for every single one of them.

Lesson learned, and I mean this one. In 2027 I will NOT be stacking two major events back to back like that again. My body has officially cast its vote & I'm finally listening instead of pushing through out of pure stubbornness.

Meanwhile, life kept moving right along without needing me to steer every second of it. The boys are settling into the new school year, full first week jitters & all while I was in CO, and honestly they're thriving. The pups are growing like weeds, currently somewhere between "still a puppy" and "wait, when did you get so big," and they're always just a quick whistle or a treat away from either total chaos or total contentment. There is no in between with these pups!

Keep that image of me forced to fully step back in mind, because it sets up everything else in this issue. Turns out my body accidentally ran the best experiment I could have designed myself.

CP Corner: Inside My Own Bookkeeping Firm

I want to talk with you about something happening inside Calculated Profits right now, because it's been a full mirror moment for me.

We are deep in what we're calling the CP Team Growth Initiative, our internal plan to level up the team across a few fronts at once, more AI in our daily workflows, some real structural changes happening behind the scenes, and honest conversations about capacity heading into Q4. I'll be sharing a lot more about what's actually happening inside this initiative soon, because there's a piece of it I'm genuinely excited to walk you all through. For now, just know: change is coming to CP, and it's the good kind.

We're rolling out more and more AI into our actual daily workflows (yes, Claude is now genuinely part of how my team operates, not just something we talk about), we finalized updates to our succession plan so the firm has real depth beyond just me, and we're having honest conversations right now about whether we take on more clients in Q4 or hold steady.

And then, because timing has a sense of humor, QBO decided to give my team a string of hiccups this exact month. Nothing catastrophic, but enough glitches and slowdowns that it tested patience across the board right when we're trying to level everything up at once.

Here's what I keep coming back to, and it's a little humbling to say out loud. I built Calculated Profits specifically so it would not need me in every seat. That was the entire point. Systems, structure, a real team, a succession plan, all of it designed so the firm could run without me being the bottleneck.

And yet here I am, over on the RMBB coaching side of things, still catching myself trying to be the one holding it all together. The exact thing I built CP to avoid, I'm actively unlearning in my other business. Turns out you can build the systems and still have to do the internal work of trusting them. That's the real work nobody tells you about. Building the structure is the easy part. Letting go of the wheel is the actual challenge.

Besties making moves

This section is always my favorite to write, because nothing beats watching you all put in the work and then actually see it pay off.

Just to name a few wins since our last episode:

Trisha added ~$20K MRR in her firm within two weeks, closed several high-ticket deals including a $7K QBD-to-QBO migration, and caught/avoided a scam lead in the process.

Lisa signed her largest attorney cleanup project to date(2025 through current) via referral from another Bestie inside our programs.

Abby is already reporting a strong ROI from a niche conference where she reconnected with contacts and added new qualified leads.

Lauren for the first time in as long as she could remember was able to take off for her actual birthday and still landed a new client plus has over 5 new engagements out.

Stacey has around 10 proposals out, including 4 cleanup projects from new automotive clients and 2 new clients signed and has found a new steady referral source.

Jessica signed 2 new clients using the new pricing structure she built at SHIFT Retreat. That's what happens when you leave a live event with a real plan instead of just inspiration.

So proud of every single one of you.

The CEO Corner

I built a business to not need me. Then I went and did the opposite somewhere else.

Here's my most humbling realization of the last few weeks, and I'm sharing it because I know I'm not the only CEO who does this.

I built Calculated Profits specifically so it could run without me being the bottleneck. Every system, every process, every hire, all of it designed around one goal: making sure the firm did not live or die by whether I personally showed up that day.

And then I turned around and became exactly that bottleneck inside RMBB.

Control is sneaky like that. You can build the exact thing that proves you know better, the systems, the team, the whole structure, and still catch yourself gripping the wheel somewhere else entirely. It's not logical. It's just human. We build the proof and then forget to apply the lesson to ourselves.

I'm actively working through this right now, not from a place of having it all figured out, but from a place of actually doing the uncomfortable work. That means delegating more, even when my instinct says "it'll be faster if I just do it." It means trusting my team more, even in the moments it feels vulnerable to let go. And it means reminding myself, out loud if I have to, that the exact systems I trust enough to build for my own clients deserve to be trusted for my own business too.

If you're the bottleneck in your firm right now, hear me on this. You are not alone, and you are not failing. You're just standing at the exact point where you have to choose to let go. I am standing right there with you, besties, in real time, not from some finished, polished place above it all.
